Q. What is PayHOA used for and why is Rimrock Cove Owners Association using it?

A. PayHOA is our new online homeowner portal and single source of record for owners. It allows owners to view lot information, manage contact details, pay dues, access RRC documents, and communicate with the Board. RRC will also use it as its primary tool to collect dues and any other income and manage vendor invoice payment and reimbursements.

Q. Why should I login and use PayHOA now if I can’t pay dues through the tool yet?

A. RRC is activating owners now, so logins are created and account details are verified before invoicing begins. Owners can start getting familiar with the system, its various features, and ensure they are receiving communications to the right contact information. 2027 dues will be collected through PayHOA and the first invoice will be available December 2026.

Q. How do I activate my account in PayHOA?

A. Use the link in the PayHOA activation email to set the preferred login password. After that, log in anytime at www.payhoa.com or use the login button at the top of the Rimrock Cove website. See Activation Instructions.

Q. I have not received an activation email. How do I get one?

A. Email Board@rimrockcove.com  or watch for the weekly activation emails sent to owners who haven't logged in yet. Or simply go to www.payhoa.com, click on the “sign up” at the bottom.  At the next page select homeowner and complete the set-up.

Q. How do I update my account information?

A. While logged into PayHOA, click on the icon in the top right, to the left of the “Rimrock Cove Owners Association (44662)”.  Navigate to Account Settings and then to the User Settings tab.  Under Owners Information, ensure your contact details are correct.

Dues Payments

Q. Can I start paying my dues now in PayHOA?

A. Not yet. RRC will continue to accept payment for 2026 dues as has been done all this year, through the end of the year.

Q. What's the timing for dues payments in PayHOA, and how do I pay?

A. 2027 dues invoices will be released December 15, 2026. ACH (bank transfer) and PayHOA's Lockbox service (for paper checks and bank bill pay) are both free. Credit/debit cards are also accepted but carry a fee. Cash will no longer be accepted.
For Lockbox, owners will keep sending the check or bill pay as usual — just to a new address starting with 2027 dues. PayHOA processes it instead of our office. Address and instructions will go out closer to invoicing time. Any 2027 checks still mailed to RRC will be forwarded to Lockbox, with a reminder to the owner to update the sending address.

Q. What are the fees and who pays them?

A. ACH: $2.45 per transaction, paid by RRC. Lockbox checks: $2.50 per check, paid by RRC. Credit/debit cards: 3.5% + $0.50 per transaction, paid by the owner (RRC does not receive this fee).

Q. Why is the system available now if I can't use it to pay my dues?

A. So owners can activate their login, verify contact details, and set up the preferred payment method ahead of time while support is available in person at the lake. Owners’ payment information is visible only to the owner. More features, like voting, surveys, and message boards, will roll out gradually. RRC has begun using the system for all text alerts and all email communications.

Q. Can I just keep paying my dues by check or cash in the office and bypass PayHOA in 2027?

A. Beginning in 2027 RRC asks that owners begin sending their checks to PayHOA’s Lockbox, and the address will be included on the 2027 dues invoice.  Checks mailed to the RRC office will be forwarded to the Lockbox service, and owners will be reminded to update the mailing address. Cash will no longer be accepted for dues payments starting January 2027.

Using PayHOA Features

Q. How do I interact with PayHOA?

A. Today owners can update their contact information and choose what to share in the Member Directory. They can also view their Communications log, see Governing Documents, and check out Board Meeting Minutes (back to the 1970s). Owners can submit Architectural Requests or a Contact Board request form and review the Calendar for Board Meeting dates and big weekend events. Voting and surveys launch this fall; dues invoicing and payment history arrive in 2027.

Q. Who should I contact if I have questions when I'm in PayHOA?

A. Email Board@rimrockcove.com.

Q. Another owner said there was a text message sent out through PayHOA. How do I get them?

A. Make sure the Owners cell number is in the PayHOA record as the primary phone number, to receive any text alerts. To do this in PayHOA, click on the icon in the top right, to the left of the “Rimrock Cove Owners Association (44662)”.  Navigate to Account Settings and then to the User Settings tab.  Under Owners Information, ensure the number in the Phone# field is the preferred communication cell number.  In addition, in the owners’ personal cell phone, save the sending number, 859-687-6879, as a contact (call it Rimrock Texts)—it won't change.

Q. My parents own the lot and I'm helping them. Can I get a login?

A. State law (RCW 64.38.045(4)(c)) limits logins to lot owners only, since PayHOA will be used for voting. Non-owners can be added as an auxiliary email to be CC'd on email communications but cannot receive their own login. Have a POA or Legal Proxy, please reach out to Board@rimrockcove.com.

Security, Access and Support

Q. How secure is using PayHOA for payments? I'm hesitant.

A. Very secure. ACH payments run through the NACHA network under strict compliance standards. PayHOA uses Stripe, a NACHA-compliant processor, to handle HOA ACH payments starting in 2027. See security summary or security full detail for more information.
